WANDR TRVL · Booking Conditions

These Booking Conditions govern every trip booked through WANDR TRVL, whether planned with the help of our AI tools, a member of our team, or both. They form a legally binding contract between you and JBM Ventures Group LLC, doing business as WANDR TRVL and WANDR ("WANDR TRVL," "WANDR," "we," "us"), once a booking is confirmed. They work alongside our Terms of Use and Privacy Policy; for anything relating to a booking, these Booking Conditions control.

Please read Sections 7 (Cancellation), 16 (Activity Risks), and 19 (Our Liability) carefully. They affect your rights.

1. Who You're Contracting With

WANDR TRVL and WANDR are trade names of JBM Ventures Group LLC, a California limited liability company. WANDR TRVL is an independent, IATA-accredited travel agency (IATA #05561544) and does not operate under a host agency. WANDR does not hold airline ticketing authority (see Section 15).

We act as your travel agent in arranging flights, accommodations, ground services, and experiences with independent third-party suppliers. Except where we expressly state that we are the supplier, your contract for each underlying travel service is with the supplier, on that supplier's terms. See Section 2.

  • California: Seller of Travel CST #2165392 (registered)
  • Washington: Seller of Travel #606280070 (registered)
  • Florida: registration pending
  • Hawaii: registration pending

California disclosures. Registration as a seller of travel does not constitute approval by the State of California. California law requires certain sellers of travel to have a trust account or bond. This seller of travel has a trust account.

California Travel Consumer Restitution Fund (TCRF). This transaction is covered by the California Travel Consumer Restitution Fund (TCRF) if the seller of travel was registered and participating in the TCRF at the time of sale and the passenger was located in California at the time of payment. Eligible passengers may file a claim with TCRF if the passenger is owed a refund of more than $50 for transportation or travel services which the seller of travel failed to forward to a proper provider or such money was not refunded to you when required. A claim must be submitted to the TCRF within 12 months after the scheduled completion date of the travel. A claim must include sufficient documentation to prove your claim and a $35 processing fee. Claimants must agree to waive their right to other civil remedies against a registered participating seller of travel for matters arising out of a sale for which you file a TCRF claim. Claims may be filed online at www.tcrcinfo.org or by writing to: Travel Consumer Restitution Corporation, 13 Dean Way, Chico, CA 95926. Transactions with passengers located outside California are not covered by the California TCRF.

2. Our Role: Agent, Designer, and Ground Operators

We arrange; independent suppliers operate. Airlines, lodges, hotels, camps, destination management companies ("DMCs"), guides, transfer companies, and activity providers are independent businesses. We do not own, manage, or control them, and they are not our employees or agents.

WANDR Signature Journeys. Some itineraries are marketed under a WANDR name (for example, "The Great Migration & Island Escape"). WANDR designs these itineraries; they are operated on the ground by a named local operator (the "Ground Operator"), identified in your proposal and booking confirmation. The Ground Operator's terms apply to the services it provides, and the services it delivers are its responsibility.

Our duty to you. We will use reasonable care and skill in selecting suppliers, in arranging your booking as confirmed, and in passing on information and payments. We are responsible for our own acts and omissions, as set out in Section 19.

Supplier terms. Supplier terms (including cancellation, refund, baggage, and liability terms) are incorporated into your booking. Key supplier terms that differ from these Booking Conditions will be shown in your Booking Summary (Section 3). Copies are available on request.

3. AI-Assisted Planning and Your Booking Summary

WANDR uses artificial intelligence to help our advisors research destinations and draft itineraries and proposals, as described in our Terms of Use. By booking with us, you acknowledge and agree that:

  • A WANDR advisor reviews every itinerary and proposal before it is shared with you, and confirms pricing and availability with suppliers before you are asked to approve or pay.
  • You are told when you are interacting with AI. Where you use an AI-powered feature directly, such as a chat or voice assistant, we will tell you.
  • Nothing is booked or charged without your explicit approval. Before any payment is taken, you will be shown a complete Booking Summary (travelers, dates, services, suppliers and Ground Operator, total price, deposit, payment schedule, and cancellation terms) and must affirmatively approve it. For bookings arranged by phone, we will confirm these details with you before booking and send them to you in writing.
  • The Booking Summary controls. AI conversations, early drafts, and inspiration itineraries are not offers and may contain errors. If anything in an earlier message conflicts with the Booking Summary you approved, the Booking Summary governs. Please review it carefully and tell us immediately if anything is wrong.
  • We fix our errors. If a booking error is caused by our systems or team (for example, dates or traveler names that differ from what you provided) and you report it before travel, we will correct it at our cost or refund the affected amount.
  • Records. We keep records of your approvals, Booking Summaries, and communications as evidence of what was agreed.

How we handle information you share with AI-powered features is described in our Terms of Use (Section 5) and Privacy Policy.

4. Proposals and Making a Booking

Proposals. Quotes and proposals are estimates based on availability and pricing at the time issued. They are not guaranteed until confirmed. Availability can change quickly, particularly for safari lodges, peak-season dates, and air.

Provisional holds. Where a supplier permits, we may provisionally hold services for a limited period (typically 7 to 14 days) while you decide. Holds lapse automatically.

Contract formation. A binding contract is formed only when we issue a written booking confirmation after receiving your deposit or full payment in cleared funds. We instruct suppliers to confirm only after your payment clears.

Lead traveler. The person making the booking confirms they are at least 18, have authority to accept these Booking Conditions for everyone in the party, and are responsible for payment and for receiving documents on the party's behalf.

5. Prices, Fees, and Currency

All-in pricing. Prices we publish, including "From" prices, include all mandatory WANDR fees. Prices are per person, based on two people sharing, unless stated otherwise. Government taxes and fees may be shown separately where the law permits.

Concierge Service Fee (bespoke itineraries). When you ask us to design a bespoke itinerary, we charge a Concierge Service Fee of $350 per week of travel planned, with a minimum of $500, before planning begins. The fee is non-refundable once planning has started. If you book the trip, the fee is credited in full toward your trip price. WANDR Signature Journeys do not carry a separate Concierge Service Fee.

Currency. We quote and charge in USD. Some services are contracted by our suppliers in other currencies (for example, South African rand). Your price is fixed in USD once confirmed, subject only to the surcharge rights below.

Surcharges after confirmation. After confirmation, we may pass on increases caused by government action (taxes, park and conservation fees, permit fees, visa or entry levies), carrier fuel surcharges, or exchange-rate movements on non-USD services, if they arise after confirmation and are outside our control. We will not increase your price within 30 days of departure. We absorb any increase up to 2% of your total trip price. If the increase exceeds 10%, you may, within 14 days of our notice, accept the change or cancel and receive a refund of all amounts paid except the Concierge Service Fee.

6. Payment Schedule

  • At booking: a deposit of 25% of the total trip price, or the higher deposit required by your suppliers (for example, for peak-season dates, exclusive-use properties, or certain lodges), plus 100% of any flights, gorilla or chimpanzee permits, and any service a supplier requires to be prepaid. Any Concierge Service Fee already paid is credited against this amount.
  • No later than 90 days before departure: the balance of the total trip price.
  • Booking within 90 days of departure: full payment at booking.

Your Booking Summary shows the exact deposit, amounts, and due dates. If the balance is not paid when due, we may cancel your booking and apply the cancellation charges in Section 7.

Payment methods. WANDR Journeys and itineraries we package are paid to WANDR by bank wire transfer only; we do not accept card payments for these at this time. Payments are due in cleared funds, and any fees charged by your bank or intermediary banks are your responsibility. Our wire instructions appear on your invoice. Before sending funds, confirm the instructions by phone with your WANDR advisor. We will never change our bank details by email, so never act on an email asking you to send money to new account details.

Supplier-direct bookings. For some standalone bookings, such as a hotel stay, flight, tour, transfer or car rental, we pass your card details to the supplier or the booking platform we use, which charges your card directly. That party is the merchant of record, the charge appears under its name, and its price, currency, payment, change, cancellation and refund terms apply. The payment schedule above and the cancellation charges in Section 7 do not apply to these bookings. We do not keep your card details after the booking is made.

7. Cancellation by You

This section applies to WANDR Journeys and itineraries we package. For supplier-direct bookings (Section 6), the supplier's change and cancellation terms apply instead, and we will tell you what they are before you book.

You may cancel at any time by written notice to info@wandrtrvl.com. Cancellation takes effect when we receive it. The following charges apply per booking, calculated on the total trip price:

  • 91 days or more before departure: loss of deposit (25%, or the higher deposit shown in your Booking Summary)
  • 90 to 61 days: 50%
  • 60 to 31 days: 75%
  • 30 days or less, or no-show: 100%

In addition, and regardless of timing:

  • Stricter supplier terms apply. If a supplier's non-recoverable cancellation charges for your booking exceed the amount above, the higher amount applies. Any such stricter terms will be shown in your Booking Summary.
  • Flights and permits are generally 100% non-refundable once ticketed or issued, subject to the airline's or issuing authority's rules.
  • The Concierge Service Fee is non-refundable once planning has started.
  • Partial cancellations (one traveler in a party) may trigger single-supplement or repricing charges for remaining travelers.

Travel insurance may reimburse cancellation charges for covered reasons. See Section 12.

8. Changes and Transfers by You

What counts as an amendment. An amendment is any change you request to a confirmed booking, for example changing dates, adding or removing nights, switching properties or room types, changing activities, or changing traveler details. Changes you submit together count as one request.

Amendment fee. Each amendment request incurs a fee of $150 if made 61 or more days before departure, or $300 if made within 60 days, plus any supplier charges and price differences. No amendment fee applies to correcting an error we made, to changes caused by us or our suppliers, or to additions that only increase your booking (such as adding nights or upgrading a room).

We will try to accommodate changes but cannot guarantee them. If a supplier treats a change as a cancellation and rebooking, the cancellation charges in Section 7 apply to that service.

Name changes. We are not required to transfer a booking to another person. Where suppliers allow it, we may agree to a name change at our discretion; the amendment fee and any supplier charges apply, and airlines may require a new ticket at full cost.

9. Changes or Cancellation by Us or Our Suppliers

Minor changes. Travel in remote destinations requires flexibility. Suppliers may make minor changes, for example substituting a lodge or camp of similar standard, changing vehicles, flight times, game-drive routes, or the order of activities. We will tell you about minor changes when we learn of them; no compensation applies.

Significant changes. If, before departure, a supplier makes a significant change to a key element of your booking (such as a change of destination, a substantially lower accommodation standard, or a material shortening of the trip) for reasons other than those in Section 10, you may choose to:

  • accept the change;
  • accept an alternative of equivalent or lower standard, with a refund of any price difference; or
  • cancel and receive a full refund of all amounts paid for the affected booking, including the Concierge Service Fee.

Cancellation by us. We may cancel if you fail to pay when due, if required information (Section 14) is not provided, or under Section 10. If we cancel because you did not pay or provide required information on time, the cancellation charges in Section 7 apply. If we cancel because of an event described in Section 10, Section 10 applies. If we cancel for any other reason, you will receive a full refund of all amounts paid, including the Concierge Service Fee.

10. Events Beyond Our Control

We are not liable for failure to perform, or for any costs you incur, where performance is prevented or affected by events beyond our and our suppliers' reasonable control. These include war or threat of war, terrorism, civil unrest, government action or travel advisories, airport, airspace, border or park closures, natural disasters, fire, flood, extreme weather, epidemics and public-health measures, strikes, carrier failures or schedule changes, and wildlife behavior.

Wildlife and natural events. The Great Migration and other wildlife events are natural phenomena. Herd location, river crossings, and sightings cannot be guaranteed and are not grounds for a refund.

If your trip is cancelled or materially changed by such an event, we will pass on to you all amounts we are able to recover from suppliers, less the Concierge Service Fee. We will help you rebook or claim on your travel insurance.

11. Refunds

California statutory statement. Upon cancellation of the transportation or travel services, where you are not at fault and have not cancelled in violation of any terms and conditions previously clearly and conspicuously disclosed and agreed to by you, all sums paid to us for services not provided will be promptly paid to you, unless you advise us in writing, after cancellation, to provide a credit toward other services.

Timing. Refunds due from funds we hold are paid within 14 days of cancellation. Refunds that depend on a supplier returning funds are paid within 14 days of our receipt; we will pursue those refunds on your behalf and keep you informed.

Method. Refunds are made to the original payment method, to the lead traveler. Bank charges and currency conversion losses imposed by third parties on international refunds may be deducted where outside our control. For supplier-direct bookings (Section 6), refunds are issued by the supplier or booking platform to your card under its terms, and we will help you request them.

12. Travel Insurance

For WANDR Journeys and itineraries we package, comprehensive travel insurance is a condition of booking; for supplier-direct bookings (Section 6) it is strongly recommended. Required insurance must cover trip cancellation and interruption, medical expenses, and emergency evacuation and repatriation. For safari and remote-area itineraries, emergency evacuation coverage of at least $100,000 per person is required. We strongly recommend purchasing insurance when you pay your deposit, as some benefits (such as pre-existing condition waivers) depend on early purchase.

If you choose not to purchase insurance, you must confirm in writing that you accept full responsibility for all costs that insurance would have covered. We are not responsible for costs arising from inadequate or absent insurance.

13. Health, Fitness, Accessibility, and Minors

Fitness to travel. You confirm that each traveler is medically fit for the itinerary. Some trips involve long drives on rough roads, light-aircraft flights, altitude, heat, walking, or limited medical facilities. Consult your doctor about vaccinations, malaria prevention, and health precautions before travel.

Tell us early. Please tell us before booking about any medical condition, disability, reduced mobility, pregnancy, or dietary requirement so we can confirm suitability. Accessibility standards outside the United States vary significantly; the Americans with Disabilities Act does not apply abroad.

Minors. Travelers under 18 must be accompanied by a responsible adult, who is responsible for their supervision and safety. Many safari lodges and activities set minimum ages (often 6 to 16) or require private vehicles for families; these will be shown in your proposal. Some countries require specific documents for minors; you are responsible for obtaining them.

Removal for safety. A supplier or guide may refuse or end participation in an activity if they reasonably believe a traveler's health or condition creates a safety risk. No refund applies in that case.

14. Passports, Visas, and Traveler Information

Documents. You are responsible for ensuring every traveler holds a passport valid for at least six months beyond the end of the trip with sufficient blank pages, and any visas, entry authorizations, and health documents required. Our visa and entry guidance (including AI-assisted guidance) is informational, sourced from third-party data, and may change; verify it with the relevant embassy or official government source. We are not responsible if a traveler is refused boarding or entry for documentation reasons.

Information we need. At confirmation we will ask for each traveler's passport copy, full legal name as on the passport, date of birth, international flight details, rooming configuration, dietary and medical requirements, celebrations, and, for light-aircraft flights, body weight. Names must match passports exactly. Missing or late information may result in additional charges or the loss of services.

15. Flights and Light Aircraft

Ticketing. WANDR does not issue airline tickets. Flights are ticketed by the airline or by a supplier or consolidator on your behalf, and the issuing party's terms also apply.

Airlines. Airlines are independent carriers. Your contract of carriage is with the airline, and its conditions (including schedule changes, baggage rules, and liability limits under the Montreal Convention) apply. We are not liable for airline schedule changes, delays, or cancellations.

Light aircraft. Domestic safari flights use small aircraft with strict baggage limits, often 15 to 20 kg per person in soft-sided bags, including hand luggage. Exact limits will be in your travel documents. Excess baggage may be refused or require an extra seat at your cost.

Connections. Missed connections caused by delays to flights you booked independently, or to international flights, are your responsibility. We will help you rebook, but costs are payable by you or your insurer. We recommend arriving at least one day before the start of a safari itinerary.

16. Safari, Adventure, and Activity Risks

TRAVEL TO REMOTE AND WILDERNESS DESTINATIONS INVOLVES INHERENT RISKS, INCLUDING ENCOUNTERS WITH WILD ANIMALS, ROUGH TERRAIN, VEHICLE AND LIGHT-AIRCRAFT TRAVEL, WATER ACTIVITIES, HOT-AIR BALLOONING, WALKING SAFARIS, EXTREME WEATHER, DISEASE, AND LIMITED OR DELAYED ACCESS TO MEDICAL CARE. YOU ACKNOWLEDGE THESE RISKS AND VOLUNTARILY ASSUME THEM FOR YOURSELF AND ANY MINOR IN YOUR CARE.

You agree to follow the instructions of guides, rangers, pilots, and lodge staff at all times. Some suppliers may require you to sign their own waiver before participating; refusing to sign may mean you cannot participate, without refund.

TO THE FULLEST EXTENT PERMITTED BY LAW, YOU RELEASE WANDR FROM LIABILITY FOR INJURY, ILLNESS, DEATH, LOSS, OR DAMAGE ARISING FROM THESE INHERENT RISKS OR FROM THE ACTS OR OMISSIONS OF INDEPENDENT SUPPLIERS. THIS RELEASE DOES NOT APPLY TO OUR OWN GROSS NEGLIGENCE, WILLFUL MISCONDUCT, OR FRAUD.

17. Special Requests

We will pass special requests (room types, bedding, dietary needs, celebrations) to suppliers, but they are not guaranteed unless we confirm them in writing as a confirmed part of your booking. Noting a request on a document is not a guarantee.

18. Your Conduct

You are expected to respect local laws, customs, wildlife, and the instructions of guides and suppliers. A supplier or WANDR may end the trip of any traveler whose behavior endangers or seriously disrupts others, without refund. You are responsible for damage you cause.

19. Our Liability

Supplier acts. WANDR is not liable for the acts, omissions, negligence, or default of any independent supplier or Ground Operator, or for events described in Section 10. Your claims for supplier services lie against the supplier, and we will assist you in pursuing them.

Our own errors. For loss caused by our own error or negligence, our total liability is limited to the amount we retained on the affected booking, that is, the total price you paid less the amounts we paid to suppliers. We are not liable for indirect, consequential, or punitive loss, such as lost earnings or missed business.

What we do not limit. Nothing in these Booking Conditions limits liability for death or personal injury caused by our negligence, for gross negligence, willful misconduct, or fraud, or any liability that cannot be limited under applicable law. Where our liability for a service is limited by an international convention (such as the Montreal Convention), that limit applies.

20. Complaints and Claims

On the ground. If something goes wrong during your trip, tell the supplier or Ground Operator immediately so it can be fixed in real time. Your travel documents will include 24/7 emergency contacts for your Ground Operator and a WANDR escalation contact. Problems not reported during travel are much harder to fix and may affect your rights.

After your trip. Submit any complaint in writing to info@wandrtrvl.com within 30 days of your return.

Time limits. To the extent permitted by law, any legal claim must be commenced within one year after the end of your trip.

21. Disputes and Governing Law

These Booking Conditions are governed by the laws of the State of California, without regard to conflict-of-law principles.

If you have a concern, please contact us first at info@wandrtrvl.com. We will try in good faith to resolve it informally within 30 days.

Any dispute that is not resolved informally will be brought exclusively in the state or federal courts located in Los Angeles County, California, and you and we consent to the personal jurisdiction of those courts. Either party may instead bring an individual claim in small claims court if it qualifies.

22. Payment Disputes

If you have a concern about a charge, contact us first so we can resolve it quickly. If you dispute a payment with your bank or card issuer for services provided or charges incurred under these Booking Conditions, we may provide your bank or card issuer with your approved Booking Summary, approval records, and these Booking Conditions, and you remain responsible for amounts properly due.

23. Privacy and Data Sharing

We collect personal information needed to plan and deliver your trip, including passport details, contact details, and, with your consent, health, mobility, dietary, and weight information. We share it only as needed to deliver your booking, including with airlines, lodges, DMCs, Ground Operators, insurers, and government authorities. Some of these recipients are located outside the United States (for example, in South Africa, Tanzania, and Zimbabwe), where data-protection laws differ.

We use service providers, including AI providers, to process information on our behalf, as described in our Terms of Use and Privacy Policy. We do not sell your personal information. See our Privacy Policy at wandrtrvl.com/privacy-policy for details and your rights, including your rights as a California resident.

24. Photography and Marketing

(a) Photos and video we take. WANDR, and suppliers acting on our behalf, may photograph or film during your trip. If you check the media consent box at booking, you grant WANDR a non-exclusive, worldwide, royalty-free license to use images, video and recordings in which you appear, for WANDR's promotional and commercial purposes in any media, including paid advertising, during or after your trip, without compensation. Each adult traveler gives or withholds this consent individually. A booking party cannot consent on another adult's behalf. We will not create AI-generated or synthetic versions of your likeness without separate written consent.

(b) Minors. We will not use the image, voice or likeness of anyone under 18 in marketing unless that minor's parent or legal guardian has given separate, prior written consent through our Minor Media Consent form. A booking party who is not the minor's parent or legal guardian cannot give this consent. Without it, minors will be excluded or obscured.

(c) Content you share. Copyright in photos and videos you take remains yours. If you share them with us, or post them tagging WANDR, you grant WANDR a non-exclusive, worldwide, royalty-free license to use them to promote WANDR, with credit where practical. By sharing, you confirm that you have the right to do so and that anyone identifiable in the content has agreed to its use. We will not use shared content showing a minor unless we have consent under (b).

(d) Withdrawing consent. Email info@wandrtrvl.com to withdraw consent under (a) or (c). Adults may withdraw at any time before the trip or within 30 days after it ends. Consent for a minor may be withdrawn at any time, and a traveler pictured as a minor may withdraw on reaching 18. Within 5 business days of a valid request we will stop new uses and remove the content from channels we control, including active ad campaigns. We cannot recall printed materials already distributed or content reshared by third parties.

25. General

Changes to these Booking Conditions. We may update these Booking Conditions from time to time. The version in effect when your booking is confirmed governs that booking.

Entire agreement. These Booking Conditions, your Booking Summary and confirmation, and incorporated supplier terms form the entire agreement for your booking. If they conflict, the Booking Summary prevails, then these Booking Conditions, then supplier terms (except where supplier terms are stricter on cancellation, as stated in Section 7).

Severability. If any provision is found unenforceable, the rest remain in effect, and the provision will be enforced to the maximum extent permitted.

Notices. We communicate by email to the lead traveler. Please keep your email address current and check for messages from us, including spam folders. Formal legal notices should be sent to JBM Ventures Group LLC, 4250 Via Marina #100, Marina del Rey, CA 90292.
